Church Clerk & Administration Ministry
Duties & Responsibilities
The Church Clerk & Administration Ministry is responsible for maintaining accurate church records, documenting official church business, coordinating administrative activities, and supporting the Pastor and church leadership in the orderly operation of Cedar Grove Christian Church.
The Church Clerk serves as an important administrative link between the Pastor, General Board, church officers, ministry leaders, and congregation, helping ensure that church business, records, meetings, and communications are handled accurately, efficiently, confidentially, and professionally.
Duties & Responsibilities

Maintain accurate and organized records of church membership, baptisms, attendance, and other significant church activities as required.

Prepare, record, and maintain official minutes of church business meetings, General Board meetings, and other meetings as assigned.

Maintain an accurate record of motions, decisions, approvals, and other official actions taken during church meetings.

Preserve official church records, reports, meeting minutes, correspondence, and historical documents.

Assist with preparing meeting agendas, notices, reports, correspondence, and other administrative materials.

Assist in preparing and distributing authorized church announcements, newsletters, notices, and other communications.

Coordinate and maintain information regarding church meetings, special programs, ministry activities, and events.

Provide administrative support to the Senior Pastor, Elders, Deacons, General Board, officers, and ministry leadership as appropriate.

Maintain current information regarding church officers, ministry leaders, committees, and organizational positions.

Assist with preparing church programs, event materials, reports, forms, and other administrative documents.

Maintain communication between church leadership, ministry departments, and congregation members when authorized.

Receive and appropriately direct church correspondence, requests, and administrative information.

Assist with maintaining an organized church calendar in cooperation with ministry leaders.

Help ensure important church deadlines, meetings, reports, and administrative responsibilities are properly communicated.

Maintain confidentiality and protect sensitive church, leadership, and member information.

Provide requested records and documentation to authorized church leadership when appropriate.

Assist with financial documentation only when authorized and in coordination with the Financier, Treasurer, and other designated financial officers, without assuming responsibilities assigned to those offices.

Help ensure church records are maintained in an orderly manner for future reference and historical preservation.

Work cooperatively with the Church Secretary and other administrative officers to prevent duplication and promote effective communication.

Perform other administrative and clerical duties assigned by the Pastor, General Board, or appropriate church leadership.
Administrative Purpose
The purpose of the Church Clerk & Administration Ministry is to help maintain the organizational integrity of Cedar Grove Christian Church through accurate recordkeeping, proper documentation, effective communication, confidentiality, and administrative support.
Through faithful service and attention to detail, this ministry helps preserve the official records and history of the church while supporting its leadership, ministries, congregation, and continued mission.
